Return and Refund Policy – W0AEZ Radio Gear LLC (Updated 2025)
At W0AEZ Radio Gear LLC, we take pride in offering high-quality handcrafted, custom-made, and commercially manufactured products. Our goal is to ensure your satisfaction while maintaining fair and protective business practices. Please review our updated policy below.
1. Eligibility for Returns
1.1 Handcrafted Products
Handcrafted items are eligible for return within 14 days of delivery, unless they fall under a non-returnable category (see Section 1.3).
- A 10% restocking fee applies to all returned handcrafted items.
- The customer is responsible for return shipping costs, which may:
- Be deducted from the refund using a prepaid return label, or
- Be paid directly using the customer's chosen carrier.
- Items must be returned in original, undamaged, unmodified condition.
- Shipping costs are non-refundable.
- W0AEZ Radio Gear LLC reserves the right to deny or reduce refunds if items show signs of installation attempts, field use, modification, exposure to moisture, smoke, or damage. Normal inspection and handling to evaluate the product is expected and will not affect return eligibility.
1.2 Commercially Manufactured Products
Commercially made products may be returned within 14 days of delivery if unused, unopened, and in resellable condition.
- A 10% restocking fee applies.
- The customer is responsible for return shipping.
- Items must be free from damage, modifications, or wear.
- Shipping costs are non-refundable.
- Refund amounts may be adjusted or denied if items arrive damaged, used, or incomplete. Normal inspection and handling to evaluate the product is expected and will not affect return eligibility.
1.3 Non-Returnable Items
For quality, safety, regulatory, and customization reasons, the following items are not eligible for return unless defective:
- Custom-made, built-to-order, or printed-to-order products
- Opened electronics, batteries, chargers, cables, or accessories
- Consumable or safety-related components
- Items showing signs of installation, soldering, or modification
2. Damaged, Incorrect, or Defective Products
If your product is damaged, defective, or incorrect upon arrival:
- Contact us within 7 days of delivery at [kevin@w0aez.com].
- Provide clear photographic evidence of:
- The product defect
- Packaging condition
- Any missing or incorrect items
What constitutes a defect:
- Handcrafted products: Structural failure, cracking, breakage under normal use, components that do not fit as designed, or failure to perform the intended function due to manufacturing error
- Commercial products: Failure to power on, charge, or operate as specified by the manufacturer when used according to instructions
- Electronic components: Non-functionality out of the box, shorts, or failures during normal operation with compatible equipment
Not considered defective:
- Minor aesthetic variations in 3D-printed items (layer lines, texture, slight color variation)
- Cosmetic blemishes that do not affect function
- Incompatibility with third-party or non-approved equipment
- Damage from Customer installation, modification, or misuse
- Normal wear and tear or battery capacity degradation
Depending on the issue, we will provide:
- A replacement,
- A repair, or
- A full refund including shipping costs.
Claims submitted after 7 days may not be eligible.
3. Return Authorization Requirement
All returns require prior approval.
- Requests must be submitted through your account or by email (see Section 4).
- Unauthorized returns will not be accepted or refunded.
- Any package returned without a Return Authorization (RMA) may be refused or incur delays.
4. How to Initiate a Return
Option 1: Through Your Account
- Log into your account and navigate to Order History.
- Select the order containing the item to be returned.
- Click "Request Refund", provide the reason, and upload photos if required.
Option 2: Email Contact
If you cannot access your account, contact us at [kevin@w0aez.com] with your order number, reason for return, and photos if applicable.
Once approved, you will receive:
- Instructions for preparing the return
- A prepaid return label (if applicable)
- A Return Authorization (RMA) number
5. Customer Responsibility for Return Packaging & Transit
If using W0AEZ-provided return label:
- Package items securely using original packaging or equivalent protection.
- W0AEZ will file carrier claims for damage during transit.
If using customer-chosen carrier:
- Customer assumes all risk of loss or damage during return shipping.
- Items must be packaged securely to prevent damage in transit.
- W0AEZ Radio Gear LLC is not responsible for lost or damaged return shipments.
6. Refund Processing Timeline
Refunds are typically processed within 3–7 business days after we receive and inspect the returned item.
Total timeline from return initiation to funds in customer account typically ranges from 10-25 days depending on shipping and bank processing times.
The final refund amount will be adjusted for:
- Restocking fees
- Returned items missing original components or accessories
- Damage beyond normal inspection handling
- Customer-selected return shipping deduction (if applicable)
Refunds are issued to the original payment method only.
7. Bulk, Wholesale, and B2B Purchases
Bulk, wholesale, and B2B purchases are governed by separate written agreements and are excluded from this Return Policy unless otherwise specified in those agreements.
8. Chargebacks
Customers experiencing issues with their order should contact W0AEZ at [kevin@w0aez.com] before initiating a chargeback.
If a customer initiates a chargeback while a return or replacement is in progress:
- The refund request will be paused until the dispute is resolved.
- Fraudulent chargebacks may result in account suspension and legal action.
9. Policy Updates
We may update this policy at any time. Changes take effect immediately upon posting to our website.
10. Governing Law
This policy is governed by the laws of Colorado, USA.
